1. Purpose¶
This runbook keeps brand consistency and trademark awareness aligned across:
- Public website, sponsor materials, and grant applications
- Team-facing content (Ridge Racers NJ and future program teams)
- Email, social media, and domain naming
Goals:
- Present one clear organizational identity (Apex STEM Education) separate from individual team brands.
- Reduce likelihood-of-confusion risk with existing marks—especially Apex Learning in education-related services.
- Document when to escalate to counsel and optional federal registration.
- Provide fallback naming if USPTO or counsel recommends changes before or after filing.

Use this table for day-to-day decisions vs USPTO filing risk. Scores are qualitative (Low / Moderate / Elevated), not legal conclusions.

Use only when confusion arises—do not lead every sentence with a disclaimer.
6. Branding do’s and don’ts¶
Do¶
- Use the full public name on first reference: Apex STEM Education.
- Use the legal name on contracts and IRS-related documents: Apex STEM Education Inc.
- Pair team names with the org line: “Ridge Racers NJ — a program of Apex STEM Education.”
- Use domain apexstem.org in print and digital (consistent with domain_and_dns.md).
- Credit the org in team social bios: e.g.
Youth STEM Racing · Program of @ApexSTEMEducation(handle TBD). - Keep sponsor tiers and logos under org letterhead once 501(c)(3) materials are ready.
Don’t¶
- Use “Apex” alone as the organization name in sponsor decks, grants, or website headers.
- Abbreviate to “ASE” in public-facing materials without defining the full name first.
- Style the name like Apex Learning (similar fonts, blue/orange ed-tech palette, peak iconography).
- Claim “Apex Learning”, “powered by Apex Learning”, or imply partnership without written agreement.
- Register social handles or email domains that could be read as apexlearning variants.
- Let the LLC brand replace the nonprofit in donation or grant contexts.

7. Fallback names (if USPTO or counsel pushes back)¶
If counsel advises against “Apex STEM Education” for registration or public use, consider alternatives before heavy print and IRS narrative lock-in. Evaluate each with a new clearance search.

Renaming checklist: Articles amendment (if incorporated), IRS name control, domain redirect plan, sponsor contract addendum, team one-line update, social handle migration.
Avoid fallback names that retain “Apex” as the lead word if counsel’s concern is confusion with Apex Learning.
